HVAC Ride-AlongWith Kevin Kirchner of Book a call

The job's done, but the invoice isn't.

Late HVAC invoicing often starts on the truck, not in the office. The job notes, photos or parts list don't make it back, and the bill can't go out until someone tracks them down.

Sound familiar?

  • The invoice is waiting on a photo, a model number, or the parts the tech forgot to log.
  • Your morning starts with a stack of invoices and a handful of crumpled notes from the trucks.
  • You call a tech between jobs to ask what they actually replaced yesterday.
  • A work order stays open for days because one detail is missing, and nobody is sure who has it.

What it costs you

Money you've earned sits out longer. The later the bill goes, the longer you wait to get paid, and the tighter payroll and parts get.

Parts that never got logged never get billed. You paid for them, and the customer never sees them on the invoice.

A late bill also invites questions. By the time it arrives, the customer remembers the visit less clearly and may call to ask what they're paying for.

And it eats somebody's mornings or nights. Often yours.

Why it keeps happening

Techs finish one call and drive to the next. Paperwork comes last, and on a busy day it comes after dark.

The details live in different places: the tech's memory, the camera roll, a note on the dash, a receipt from the supply house. The office can't bill until all of it lands.

Nobody chases the missing piece right away. It waits until the end of the week, when it's harder to remember.

In a small shop, billing is one more job for someone who already has plenty.

Who you'll talk to

I'm Kevin Kirchner, and you'll talk with me directly. I'll ask how a finished job turns into an invoice at your shop today, and where it stalls.

Pulling notes, photos and parts together after the work is done is busywork, and that kind of busywork can now come off your team's plate. How depends on the way your shop runs.

Questions

Why does HVAC invoicing take so long after the job?

Usually because something is missing: a photo, a note, a part number, a signature. The office can't send a bill it can't back up, so it waits.

Is this a tech problem or an office problem?

Usually both, and neither side is slacking. Techs are on to the next call, and the office can't finish what it doesn't have. The gap between them is where invoices stall.

What exactly do you build?

It depends on how you work today; we figure that out on the call.
